Team Building Event on a Limited Budget


Our client had 80 guests in Melbourne for a three day conference and on the second evening they wanted to host a team building event. We were on a very limited budget and while brainstorming cost effective team building ideas we came up with a pizza making competition.

This event provided us with the opportunity to take guests out of the hotel and place them in new and exciting surroundings.

Step one was to find the perfect venue. When working on a budget use your venue to set the scene. We found a rustic underground restaurant with a wood fired oven.

Being a weeknight we were able to hire the entire basement level at a great price. Note - Venues always want to fill their function space on a weeknight, you should be able to negotiate a better rate on a weeknight as opposed to a Friday or Saturday evening.

To start the evening off, we had the executive chef demonstrate the art of pizza making. The group were then split into teams and given the task of creating their own pizza's. This was a great way to provide a team building activity but also save money as they ate the pizza's they had made. Of course we supplied some professionally made pizza's as well!

In regard to themeing the venue, with not too much expense we transformed the space into a Little Italy. We utilised the venues free white table cloths and simply hired in red and white check table cloths to be placed over the white cloths provided by the venue.

We brought white candles from the reject shop and melted them onto empty wine bottle provided free of charge by the venue. Add some artificial grapes, again from the reject shop and presto a budget friendly and easy table decoration!

Lighting is also a great way to create effect without the expense. Here in little Italy we hired mini up-lights, when chatting to an audio visual supplier you can also ask for parcan lights. The lights were only $5 each and you get to choose what colour gel (in other words a thick cellophane cover) you would like. We chose gels in red and green placing them around the room to light the walls for a warm effect.

Our guests had a fantastic evening and as well as pizza making there was plenty of dough throwing!

Yeah, writing an RFP (Request for Proposal) is a pain in the ass, no doubt. It forces you to put into writing everything you are expecting from a vendor. Yet, for a guy like me who tends to have unspoken expectations, it's a great tool. Here are 3 things RFP's do to make your job easier in event planning and management.

  1. RFP's clarify all of the services or products you will receive from the vendor- No unspoken expectations.

  2. RFP's Can serve as the contract between you and the vendor. Most contracts drafted by the vendor favor the vendor as they are written by the vendor's attorney, or someone in their office looking out for their best interest. Use the RFP as a tool to get the language you need into the contract.

  3. RFP's get you the best deal for your money. For a recent event, I produced an RFP for equipment rental. Initially I was going to exclude the vendor I use most, because I know their prices had gone up and I was not happy about that. I was sure they would be the most expensive. At the last minute I sent them an RFP to respond to. Wow, was I surprised at their response. Not only did they win the bid, but they were 25% cheaper than the closest bid.

Are you going to use an RFP for every contract? No, it doesn't always make sense. If you need a specialized product or service and only one local vendor can handle it, you're best off negotiating your price and expectations. However, on those occasions where a number of vendors are able to deliver the same product or service, it's in your best interest to get proposals.

Prepare for a protracted process in selecting vendors from RFP responses though. You have to take the time to compare your request with their proposal, ensuring everything you requested is accounted for. You will undoubtedly need clarification from the responses and that takes time too. Vendors may use slightly different terms for their products than you do, or they may have a variety of styles or sizes for the product in your request.

The time invested in this process is well spent though. You'll see it on the bottom line and managing the selected vendor will be much easier.

Outdoor activities / options always add to an event so choosing Nebraska in the middle of Winter may not be the best choice.

One thing that kept cropping up for me when I was teaching at a recent event was the fact that so many of you are getting overwhelmed with your marketing; not so much with the list building or connecting with potential clients, but your actual marketing planning.

The busier you get in your business the harder it becomes to keep a handle on things. Just some of the issues that cropped up at the event I was at were:

  • You're being asked to speak at events or telesummits and don't know how this fits into your overall marketing plan.

  • You want to launch a new product or program but are not sure how all the different moving pieces fit together.

  • You want to create a series of list building events, but are not sure how to map all of these out so that they don't conflict with one another.

For all of these scenarios there's one very easy solution... create a marketing calendar.

A marketing calendar is a very powerful business planning tool, and an essential one for your business if it's to grow and flourish. With a marketing calendar, you can see at a glance:

  • Upcoming promotions that you need to prepare for.

  • If any of your promotions conflict or overlap with one another.

  • If you can accept that offer to speak at a telesummit or event (and be able to promote it too).

  • Whether you need to move things around a little to allow for an unexpected opportunity.

  • What you need to be doing and by when.

Today I thought I'd share with you a really simple way to create your own marketing calendar.

The Simple Marketing Calendar

You just need a calendar, solely for marketing, to lay it all out on. And one of my favorite tools for doing this is to use Google calendars. It's easy to set up; it's easy to move things around; and it's easy to overlay it with your regular business calendar. Also, as Google calendars sync with your smart phone (and iPhone too, I believe), you always have instant, up-to-date access.

If a Google calendar's not your thing, you can also use a dry-wipe planner from your local office supplies store, and hang it in your office. The dry wipe feature means that it's easy for you to move things around without it becoming too messy. Post-It notes also work well too!

Whichever method you choose (and you might have your own preference) creating a marketing calendar is essential to the success of your business... and your sanity!

You may start your event planning with a mountain of event ideas, but there will come that moment when you hit a wall - when you just can't think of anything appropriate. In those times when your mind goes blank, try some of these tips for generating event ideas for your event.

1. Take a Big Break - If you can't come up with anything new or interesting, you may need to get away from your event planning session. Step away and do something out of character to change your mental state and spark your creative juices. Maybe a day at the spa, complete with massage and facial, is just the thing you need to refresh and replenish a sluggish event planning brain. Take a day-trip to a local landmark or nature preserve. Get away. Breathe. Exercise. Meet your friends for lunch or a movie. Clear your mind, and new creative event ideas will flood in.

2. Do Something Social - Sometimes we get in a terrible rut. Day after day - to work to home then back again. One way to refresh your event planning is to have some rich social contact. Then sleep on it. Your sleeping mind will recombine and recreate what it has taken in. Give it a shot. You can't lose, and you may have some of your most interesting event ideas this way.

7. Go Surfing - If television or the movies aren't good enough event planning fodder, try surfing the internet. Search for party-theme tips or read articles on great parties. Find some blogs on relevant topics and see what you can glean from this fertile field. Cast a wide net by doing searches for very simple one-word concepts like "party," "entertainment," or "games." Get a bit more selective using short phrases like "best party ideas," "theme party," or "event activity." You can even search for concepts only loosely-related to event idea planning. Try a search for "great vacations," "cruise ships," "vacation tours," or "public speakers." Anything that will open your mind to new concepts will help you generate more event planning ideas.

8. Do an Informal Survey or Poll - If you've truly run out of event ideas, you can approach others in some novel ways to generate ideas. Tell people you're conducting a poll and ask them questions like

- What's your favorite social activity?
- What does your family do to have fun together?
- When was your favorite party? What did you do?
- Who's the best party host or hostess you've ever known? Why?
- In your opinion, What makes a party great?

You may be surprised at the responses you'll get, and your questions may start conversations that lead to new interesting ideas for your event. At the very least, you get to know your friends and family better by showing interest in their opinions.
